West Bedlington Town Council Street Fair 2025

Proposal:

Expressions of Interest are invited to organise a one-day Street Fair, an event with a wide range of activities, on Front Street, Bedlington. The date of the event is to be confirmed but will take place on a Saturday between the end of June 2025 and the end of August 2025 (10am-9pm)

Rationale

To encourage as wide a cross section of the community as possible to attend the event

The range of activities and entertainment of current events do not appeal to all sections of the community and by increasing the range of provision, for example to include participation from local groups/schools, the event would better serve residents. To provide an event which is more affordable for families To provide activities which are free would go some way to increasing involvement and enjoyment.

To support local businesses

There are businesses along Front Street West which supply food. These businesses could be given the opportunity to cater for the event which could enhance their profits.

To minimise the impact of inclement weather

In the event of inclement weather a street event would not be as affected by weather compared to an event on grass.

To achieve these aims we would like the following:

1) Start the day with a pageant/procession and invite local groups to take part There are schools; dance schools; and many voluntary groups in the locality who would like to take part. It is the intention to hold a Battle of the Bands/Musical act competition on Saturday 26 April 2025 with the winning act opening the Fair.

2) Provide activities which are free of charge For example, a climbing wall; face painting; glitter and henna body art; street theatre; circus skills; and up to six fairground rides for young children together with local bands. The fairground is to support the event not to have the event revolve around it.

3) Involve local businesses in the provision of food and drink There are several businesses on Front Street West which could be invited to provide food and drink.

4) Support local craft businesses Invite local craft businesses to participate a Craft Fair in and outside the community centre.

5) To be prepared for poor weather Provide several gazebos where people could go if it rained or if the weather was very warm.

Statement Details to include:

i. Your Tender price (noting that the Budget for the event is circa £18k) to include your Fee, Traffic Management (road closure costs), and to meet our rationale and aims as described above.

ii. Your brief outline of the event to be provided.

iii. Evidence of event management including: • Organising venues, contractors and vendors • Staging and managing events • Marketing events • Liaising with other stakeholders • Carrying out risk assessments • Appropriate insurances in place • Review and evaluation of event processes • Event communication including events email box and social media • Planning events • Communication and managing skills • Meeting deadlines and working within budgets

iv. Your expression of interest written statement must be sent to the Town Clerk at westbedlingtontowncouncil@gmail.com by noon on Friday 6th September 2024.
